Flooring estimating software compared

How to choose
Most of these products are good at what they were built for. The useful question is which one was built for the work you actually quote. Five things separate them.
1. How the takeoff is done
There are three broad methods. In the first, you load the plan, set its scale and trace or draw each room; general PDF measuring tools and most flooring estimating programs work this way, and it gives you full control over every shape. In the second, AI finds the room shapes on the drawing for you to review; MeasureSquare offers this on its Commercial plan and Cyncly offers Blueprint AI in Measure Premier. In the third, the software reads the dimension strings printed on the plan and builds each room from those numbers, which is how Squaro works. Ask which method a product uses, and what you have to check afterwards.
2. What the AI actually reads
"AI takeoff" covers different things. Some tools detect room outlines, doors and windows. Some also label rooms or summarise the plan set. Fewer read the selections or colour schedule that says which finish goes where, and that is often where builder quotes go wrong. Ask the vendor to show you, on one of your plans, where each figure on the quote came from.
3. Whether you need an ERP
If you run a showroom, hold stock or manage many builder accounts, a flooring business system such as RFMS covers orders, inventory, scheduling and accounts as well as the estimate. If your jobs and accounts already live elsewhere, a quoting tool that does one job well may be enough. Buying an ERP only to speed up quotes, or a quoting tool to run the business, is a mismatch either way.
4. Region, units and tax
Check that the tool reads the plans you receive: metric or feet and inches. Check that the quote handles your tax (GST, VAT or sales tax), your currency and your spelling, and that support works in your time zone.
5. Price and trial
Some vendors publish a price list, others quote after a demo. Count the subscription per user, setup, training and the hours it saves. Then trial it on your own plans, not the demo set.
Questions to ask any vendor
- Can I trial it on three of my own past plan sets, one simple, one awkward and one with stairs or carpet?
- Where does each room's figure come from, and can I see that on the plan?
- Do I have to set the scale first, and what happens when a plan is not to scale?
- Does it read the selections or colour schedule, or do I assign products room by room?
- How does it handle doorways, robes, kickboard recesses and stairs?
- Does it round up to whole packs, and work carpet off a fixed roll width?
- Can I set my own waste per product, my own allowances and my own rates?
- How long does checking a finished takeoff take, measured on my plans?
- What happens to a quote I have already sent if I change my rates?
- Does it read metric plans, imperial plans or both, and does the quote handle my tax?
- Where are my plans stored and processed, and are they used to train AI models?
- What does it cost per user per year in my currency, including setup and training?
- What happens after the job is won: does it connect to my accounts, stock or scheduling?
Tip
Write the answers down for each product and compare them side by side after the trials, not after the demos. A demo shows the plans that suit the product; your own plans show the ones that suit your business.
