RFMS alternative: how Squaro compares for flooring takeoff
RFMS, now part of Cyncly, makes software that runs a flooring business: RFMS Core, an ERP, and Measure, its estimating and takeoff program. Squaro does one part of that job: it reads a builder's plan set and selections and builds the takeoff and quote for you to check. Here is how they compare, and when RFMS is the better buy.
What RFMS is
The rfms.com address now redirects to Cyncly's RFMS Core page, which calls it "Unified Flooring Operations & ERP Software". In Australia and New Zealand it is sold and supported by RFMS Australasia, which says it has over 35 years in software for the floor covering industry. It helps to separate the two parts:
- RFMS Core, the business system. Cyncly lists accounting, product management across multiple stores, inventory management with barcoding, quoting and order management, sales reporting, payments and B2B integrations. Mobile apps cover CRM, warehouse receiving and stock, and work orders for installers. For builder work, Cyncly describes scheduling and crew assignments, bid routing, batch inventory allocation, builder contract pricing, and milestone billing with retainage.
- Measure Desktop and Measure Mobile, the estimating tools, often searched as RFMS Measure. Measure estimates carpet, tile, laminate and hardwood, lays out roll product while leaving you control over cut placement, captures labour, transitions and add-on products, and sends estimates into RFMS.
RFMS is aimed at flooring dealers and retailers, builder flooring businesses and commercial contractors who want one system from estimate to invoice.
How takeoff works in RFMS Measure
Cyncly's Measure Desktop data sheet sets out five steps: import the blueprint image and create rooms, search for and apply materials to each room, add project details such as transitions and add-on materials, view and edit the roll plan, then view the worksheet and export to RFMS or print reports. Importing PDF and CAD files is a Premier feature. In Premier, the data sheet says Measure can "automatically create rooms or trace them with the assistance of intelligent drawing tools". Every edition lets you draw rooms with the keyboard or from predefined room shapes, and work from a Leica DISTO laser measure.
Measure Premier also includes Blueprint AI, which Cyncly says is powered by Togal.AI and built into Premier. Cyncly describes it as mapping room boundaries, calculating surface areas and preparing material estimates from an uploaded PDF, and pitches it mainly at commercial flooring estimates.
How takeoff works in Squaro
Squaro starts from the builder's PDF working drawings and the selections or colour schedule. It reads each room's size from the dimension strings printed on the drawing, rather than scaling the drawing or tracing room outlines. Each room shows the page and the dimension text used, and low-confidence readings are flagged so you know what to check.
It then applies your rules and price book: doorway allowances, robes, kickboard recesses, stairs with an extra allowance, waste, rounding to whole packs or roll lengths, and trims per opening. You tick every line before the quote PDF goes out. The flooring takeoff software page walks through it.

When RFMS is the better choice
- You run showrooms or several stores and need stock, purchasing, orders and accounts in one flooring-specific system. Squaro has none of that.
- You handle many builder accounts at once and want scheduling, crew assignment, inventory allocation and milestone billing joined up with the estimate.
- You do commercial work that needs roll plans with control over every cut, tile layouts, coving and project phases.
- Your team already uses RFMS, so estimates in Measure flow into orders without retyping.
- You quote from plans in feet and inches, which Squaro does not read yet.
When Squaro fits
- You are a flooring contractor or subcontractor whose quotes mostly come from builder plan sets, and the time goes into reading drawings and selections.
- You do not need an ERP, or you already run your jobs and accounts in another system and just want faster, consistent quotes.
- You want each room's figure tied to the printed dimension it came from, so checking is quick.
- You want your own allowances, waste and pack rounding applied the same way on every quote.
Squaro's limits, plainly: it is in early access, reads metric plans only for now (feet and inches are planned), does not cover tile or stone, and has no ERP, inventory, accounting, CRM or showroom POS. Your estimator stays responsible for every quote. The flooring quoting software page and the FAQ have the detail.
Switching, or using both
Most businesses that run RFMS would not replace it with Squaro, because Squaro only covers the quote. The realistic pattern is to use both: Squaro to read builder plan sets and produce the quote, and RFMS for orders, stock, scheduling and accounts once the job is won. There is no direct connection between the two today, so a won job is entered into RFMS from the Squaro quote.
Before deciding, run three plan sets you have already quoted by hand through both, and compare areas, packs and totals line by line. The flooring estimating software guide explains how to run that test fairly.
Common questions
Is RFMS the same company as Cyncly?
RFMS is part of Cyncly. The rfms.com address redirects to Cyncly's RFMS Core page, and Measure's materials carry both names.
Does RFMS Measure have AI takeoff?
Yes. Blueprint AI, powered by Togal.AI, is built into Measure Premier and maps room boundaries from an uploaded PDF.
How much does RFMS cost?
Pricing for RFMS Core is not published on their website; Cyncly offers demos. Measure Desktop's pricing page lists editions from $86 to $242 a month without stating a currency, so confirm the local price with RFMS Australasia.
